The procedure for making a reservation is as follows:
- We receive your request.
- We inform you of the cost of the requested services.
- You confirm that you wish to reserve the offered services.
- We make firm bookings for all the requested services and as soon as your bookings file is complete we send you our final confirmation, which will also include the payment plan and method applied to your booking.
Payment is possible in one of the following ways:
a. We will direct you to our secure Web Pages and the payment process will be concluded online, or
b. We will send to you (by e-mail or fax) an authorization document, which you will be asked to fill in with your credit card details and sign. You then send us back (by fax) the signed authorization document, or
c. We will send you (by e-mail or fax) our bank account details so that can you wire your payment(s) through your bank.
When Aegean Thesaurus Travel receives the total amount payable you will then receive all the travel documents for the paid services (hotel & transfer vouchers, airline & ferry, tickets, and all other service vouchers related to your itinerary), to be specified in the email confirmation you will be receiving from one of our Travel Consultants.
- Reservations made with Aegean Thesaurus Travel require prepayment in full of all confirmed reservations and services. Rates quoted always include taxes.
- Reservations made 31 days (or more) prior to their commencement date, a prepayment of 30% of the total cost is required within two days of our confirmation.
- The outstanding balance is payable 30 days prior to the commencement of services.
- The 100% of the total cost is prepaid, within two days of our confirmation, in the following cases:
- When a reservation is made 30 or less days prior to the commencement of services.
- When the reservations and services do not include accommodation bookings.
- For accommodation reservations only, which are for a duration of 5 nights or less.
- When the total cost of the reservation and/or services is 600 Euros or less.
- Some hotels and other services require full payment 60 days before the client's arrival. For such exceptional cases we will inform you accordingly in advance.
- Credit cards accepted: VISA, MasterCard and American Express.
- Debit cards accepted: Maestro and Electron.
- Purchasers must be 18 years or older.
The Aegean Thesaurus Travel website www.thesaurus.gr, including its resident Online Payment System, is certified for its encryption processes and security by Thawte. The Aegean Thesaurus Online Payment System operates in conjunction with Alpha e-Commerce, an e-commerce Payment Gateway application of Alpha Bank, Greece. The official World Wide Web secure domain address of Alpha e-Commerce is https://www.alphaecommerce.gr which is certified for its encryption processes and security by the world’s best practices for e-commerce payments and is fully compatible with the international security protocols Verified by Visa and Mastercard SecureCode for secure on-line card payments. Card data (card number, CVV2, expiration date etc.), is transmitted over the Internet in an encrypted format (SSL 128-bit encryption) and is accessible only to Alpha Bank and your credit card organization. Alpha Bank’s payment page in which card details are entered, bears a digital certificate to allow anybody to check its authenticity, i.e. to make sure that it is a genuine web page of the Alpha e-Commerce payment gateway.
The cancellation fees that usually apply are listed below unless special discounted rates (Non-Refundable rates, Early Booking rates, etc.) are chosen during the booking process in which case cancelled services are non-refundable.
For Ferry tickets
If cancelled after they have been issued, and until 72 hours prior to the scheduled departure, 50% cancellation fees apply.
If cancelled within 72 hours of departure, or if ferry departure is missed, the amount paid is not refundable.
Ferry tickets are issued on the date that your full payment has been received.
For Airline tickets
Cancellation fees vary according to each airlines' cancellation policy and applicable fare rules. Cancellation fees may apply only after the tickets have been issued.
Airline tickets are issued on the date that your payment for these has been received.
For Accommodation and all other services, with notice received:
25 (or more) days prior to the commencement of services:
90% of the total amount confirmed is refundable.
between 24 to 15 days prior to the commencement of services:
50% of the total amount paid is refundable.
14 or less days prior to the commencement of services and Non-Show:
the total amount paid is non-refundable.
- 25 (or more) days prior to the commencement of services:
- All agency handling fees and expenses (if any were charged) are non-refundable.
- Any refund due will be refunded through your credit card account, or to your bank account.
Please take under consideration that even though the above is the usual cancellation policy, it may vary depending on the rules, restrictions and cancellation policies of each property and service supplier. As we work in our clients' best interests, we will always endeavor to minimize or even avoid cancellation fees whenever possible and for extraordinary cases.
Amendment of confirmed reservation particulars is possible, always subject to availability and according to the rules, restrictions and cancellation policies of each property and service supplier, as these vary. An amendment requested in less than 25 days prior to the service date may not be amendable and the charges may not be refundable.
For each requested amendment which is subsequently confirmed after our FINAL confirmation, an amendment fee of 30 Euros will be applied in addition to any other charges that may be incurred.
A request for a service amendment received only by email or fax in less than 4 days before the confirmed service date, might not be sufficient because your request might not be processed by our office in time, due to office operation hours, weekends, holidays and local time differences. Therefore to request for any amendment in less than 4 days before the confirmed service date, this can be done ONLY by calling our office at telephone No. +30 22840 33151. If our office is closed an emergency telephone number will be provided by our answering service. Please contact our office and we will be happy to discuss any available options for alternative arrangements.
The land transfers confirmed to you will be provided and charged based on the confirmed transfer details (flight No., or ferry name) specified on our vouchers and/or according to any additional correspondence up to 72 hours prior to the transfer time. If for any reason (flight changes, etc.) you cannot use the confirmed transfer service(s), the transfer charges are not refundable unless you notify our office in advance.
A request for a transfer change received only by email or fax in less than 72 hours from the confirmed transfer time, might not be sufficient because your request might not be processed by our office in time, due to office operation hours, weekends, holidays and local time differences.
Therefore to request any change in less than 72 hours and up to 3 hours before the confirmed transfer time, this can be done ONLY by calling our office at telephone No. +30 22840 33151. If our office is closed an emergency telephone number will be provided by our answering service. If the change of transfer time is not known until up to 3 hours prior to the previously confirmed time, this transfer is not amendable and the charges not refundable. In these circumstances, please contact our office anyway, and we will be happy to arrange an additional transfer at the new time if requested.
For most all hotels in Greece the following check in and check out times are applicable:
Check-in time : 14:00 (2 pm)
Check-out time: 12:00 (noon)
Checking-in earlier, and/or checking out later than the above times may be possible, however that can only be known on the check-in and/or check-out dates and it depends on availability at the time. For earlier check-in or later check-out additional charges may apply.
Any complaint or dispute that may arise from the booking of any hotel, tour, cruise, transportation, vehicle, package, and/or any related service must be reported to Aegean Thesaurus Travel at the time of the occurrence that gives rise to the cause of the complaint or dispute in order to attempt a resolution of the issue involved. Negotiation with the service provider for any financial reimbursement on your behalf might be possible only if a complaint or dispute regarding a specific service is received by Aegean Thesaurus Travel before that service is completed.
Hotel categories are designated by the local government authority. In the extraordinary event of non-availability, due to overbooking or any other unforeseen circumstance, of a specified hotel, a substitute hotel of the same or higher category may be used.
It is the responsibility of each traveller to ensure that they meet Passport validity and Visa requirements for entry into Greece and/or into the EU. Passport and Visa requirements for the Greek State are subject to change, therefore information on any website may be outdated. The most reliable source of current information is a Greek Embassy/Consulate in your own country. For more information we strongly recommend that you check directly with the Greek Embassy/Consulate in your area before finalizing your travel arrangements. Aegean Thesaurus Travel can bear no responsibility if a client is refused entry to an international flight or to Greece due to incorrect documentation or due to any other regulation applied by the Greek, or by other, Immigration Authorities.
For car rental use in Greece, drivers must hold a valid driving license, with date of issue at least 12 months prior to the rental starting date and for driver licenses issued outside the European Union drivers must also hold a valid International Driving License. Aegean Thesaurus Travel, hereinafter called the Tour Operator, and/or its representative's act only as agents between you and local hotel, cruise and transportation companies, land tour operators and any other related travel company associated with the booking made through the said Tour Operator. The responsibility of the Tour Operator and/or its representatives is limited.
The Tour Operator and/or its representatives will not accept any responsibility in the event of adverse weather conditions, strikes, damage, loss, accident, illness, delay or other irregularity. Likewise due to defects in any vehicle used for transportation, or the fault/default of any local hotel, cruise and transportation companies, land tour operator, or any other related travel company including their employees, associated with the booking made through the Tour Operator.
The Tour Operator and/or its representatives are not responsible for any passport, visa, consular, political, or military complications created voluntarily or involuntarily by the passenger or by any other person.
By booking any hotel, tour, cruise, transportation, vehicle, package, flight and/or any related service, you acknowledge that in any event, the Tour Operator shall not be liable for any consequential damages, and that the sole extent of the Tour Operator's liability shall never exceed the amount actually paid by the passenger.
The Tour Operator reserves the right to change or cancel any confirmed service, if necessary, due to force majeure conditions.
Airline tickets shall, when issued, constitute the sole contract between the passenger and the airline. The airline is not to be held responsible for any act, omission or event when the passenger is not on board its aircraft.
The Tour Operator is not responsible for technical, hardware, software, or telephone failures of any kind; lost or unavailable internet connections; or failed, incomplete, garbled, or delayed computer transmissions that may limit a participant's ability to finalize the payment process.
